LET'S GET THE BAD NEWS OUT OF THE WAY FIRST:

⚡️ The hours start around 15 - 25 hours per week BUT as you grow, this can become a full time position with our company… so we’re looking for a right hand person who’s “in it to win it” (hours WILL increase during launches + promos)

 

⚡️ If you’re looking to work with us and work on your side hustle with your 5 other clients, then this is no longer the most “magical” part time job ever 😭

 

⚡️ We are looking for someone who can join our team of kickass individuals with these part-time hours, but feel like this is their full-time home, and this is NOT a fit for you if you’re trying to build your own business

 

⚡️ We require all hands-on-deck and more hours during launches + promos to support the influx of work required (while we support taking vacations, during launches + promos we do not allow for RTOs to ensure launches run smoothly)

1. WE WORK REMOTELY (AKA VIRTUALLY)...

Which means you won’t have to walk up a flight of stairs, sit in traffic or have to put on a fancy suit and tie. You can come to work in your pajamas, wear a costume or even gym clothes. 

 

 

2. THE HOURS ARE SUPER FLEXIBLE... 

We will work with your schedule to get a routine that works for you. Prefer to start mid-morning and work till mid-afternoon… no biggie! Our only requirement is that you show up for weekly team meetings, check-in + check-out each day and be within 3+/- hours of Eastern Time zone. Some of our work requires you to be on Zoom or on a call at a specific time, but don’t worry we always give you a heads up!

 

 

3. THE WORK IS FUN, FRESH AND FULL OF SPARKLES... 

You will be working directly for our founder, and helping her with a mix of initiatives, projects and more. She loves ideas and is looking for her right-hand person to support her + her community. In her dream world, she brings an idea to the table and you use your magical powers to make it happen (without her having to micromanage the whole thing)

MUST HAVES: 

⚡️ Has a superior grasp of the English language and can write energetic and bold copy 

 

⚡️ Has been apart of the workforce for 4 years 

 

⚡️ Has over 1-2 years of relevant experience as an executive assistant (preferably in a virtual environment) + experience with online community building 

 

⚡️ Ambitious, self-motivated and enjoys problem solving 

 

⚡️ Always thinking 5 steps ahead + takes initiative

 

⚡️ Loves answering questions + being the go-to person 

 

⚡️ Flexible + highly creative 

 

⚡️ Comfortable on Zoom + camera 

 

⚡️ Available for weekly + monthly team calls, and daily check ins + check outs (via Slack)

 

⚡️ Must be willing to create new systems + processes (we use Loom to record our processes + Google Docs to document them + Asana to execute them)

PREFERRED: 

⚡️ Has worked at least four years in the areas of community building, project management, logistics, online funnel creation, automation & processes, or team management and has previous experience with social media, customer service and online business softwares

 

⚡️Has knowledge of Google Docs, Wordpress, Squarespace, Kartra, Slack, Asana, Canva and Google Drive

RESPONSIBILITIES + ROLES:

1. EXECUTIVE ASSISTANT...

 

You need to be the type of person who gets joy out of getting things done. Every day you will bang out a list of stuff. Fun stuff. Important stuff. Necessary stuff. You love lists, and managing projects, and checking things off diligently. 

 

You need to nail down the details. You don’t need to race through work and get things done half-assed (I’ve figured that one out myself). I need you to have an eye for the bigger picture + how things fit together and be able to nail the details that match, and get them done right. 

 

In addition to being a detailed person, you must follow systems + processes. In fact, just to prove that you are detail oriented and can follow procedures, when you apply for this position in the subject line of the email you must include “I’ve found my dream company” in the subject line. Yep, that’s our little trick to sort out the people who blanket send their resume to anyone and everyone, from the folks (that’s you) who are truly interested in this position.

 

You’re a bit of a unicorn at managing a project, understanding the details, moving things forward, executing tasks + delegating things effectively along the way to bring our ideas to life. You never miss a beat when it comes to a to-do list. 

 

In short, your job is to help us in any way you can drive our mission forward + continue to free us up from questions, decisions, and the things the founder doesn’t need to be involved in.

  • Manage Alyssa’s priorities, calls, and calendar daily 

  • Identify areas of improvement + work closely with the team on executing these ideas 

  • Be responsible for managing duties that have to do with SOPs, finances, systems and more

  • Research + send gifts to students and team members when certain milestones are met 

  • Use a project management software (Asana) to keep projects + initiatives moving forward and on time 

  • Tracking metrics (how are our funnels working? Any leaks? What is Google Analytics saying?) + making data-driven recommendations + decisions on how to move the business forward 

  • Write + create content to help support and encourage students through our programs (must have basic design skills with Canva) 

  • Strategically think about the bigger picture + create posts that fit in for our seasons. You will need to be a decent writer + communicator (you don’t need to be an expert copywriter, but I make enough of my own typos, so I expect decent writing and meticulous editing from you) 

  • Organize + stay on top of our Google Drive

  • Rewrite + record SOPs as they come up or when they change (you will be responsible for them being up-to-date) 

  • Research and record numbers + metrics in Google Sheets 

  • Manage all sales funnels, sales pages, tags and forms in Kartra 

  • Mange the support@workflowqueen.com inbox on the daily and insure that any pressing matters are sent to Alyssa 

  • Attend weekly Zoom meetings for our programs and occasionally take over the calls to relieve Alyssa 

  • Live launch support (includes time stamping, setting up recap pages, creating + scheduling graphics, sending emails, downloading recorded sessions + supporting team) 

  • Schedule weekly YouTube videos, blog posts, IG story assets, podcast and weekly email newsletters + maintain and record metrics to ensure they are performing well

  • Schedule podcast interviewees for our podcast and ensure that all necessary details are received from interviewees and the calendar is maintained for batching 

  • Input + maintain our company’s books in QuickBooks Online to ensure we are within our budget + paying bills on time (don’t worry, we can train you on this)

  • Maintain our online programs and make note of any suggestions for improvements + take initiative and add new links + resources into our programs 

  • Plan and coordinate annual retreats for the team 

  • Organize travel, photoshoots, and details for Alyssa 

  • Research + reach out to potential collaborators for podcast interviews, speaking opportunities, publications, and collaborations + drive them to execution 

  • Schedule Zoom meetings and ensure all documentation + details are in place 

  • Maintain systems to ensure an amazing client facing experience and team experience 

  • Attend weekly team meetings + take notes and ensure the team is executing everything

 

*Although these are the main things this job might encompass other tasks as well

 

2. COMMUNITY MANAGER... 

 

You’ll need to like being on the computer a lot, and have a solid understanding of online marketing + business strategy, social media, and other online biz based stuff. 

 

You truly DIG helping and supporting others through their journey of owning and operating their bookkeeping and accounting practice and love to celebrate their wins + accomplishments.

  • Respond to students + prospects + customers and get their questions answered 

  • Come up with creative ways to repurpose content to fit social media platforms + strategy 

  • Customer support: billing issues, pauses/cancellation for our products, troubleshooting, course access, general support & coaching 

  • Create student + customer surveys and forms to ensure we are serving our community to its fullest 

  • Manage our Instagram, Facebook business page, Alyssa’s Facebook messages, YouTube, podcast + program comments

  • Create detailed spreadsheets on status of students and use this to push them to move forward and encourage them to stay on track 

  • Strategize on how we could make the customer journey more delightful

  • Answer questions that people have (with multiple check ins throughout the day) in the support@workflowqueen.com email and all online customer service avenues 

  • Improve retention within our community + identify triggers that encourage community-building behavior from members and reinforce the behavior 

  • Content creation: 

    • Weekly newsletter 

    • Social Media Posts for our community 

  • Monthly community engagement strategy & plan 

  • Scheduling out all community building + customer service emails and messaging, making sure they go out without any errors or discrepancies 

  • Create and impose community rules 

  • Responsible for all assets of the communities (when something is needed, make sure to remind team members about it)

  • Create necessary graphics to support our programs and other community assets 

  • Stay up-to-date on relevant topics & keep our audience updated via content creation 

  • Keep a list of feedback and FAQs so we know where our offerings need to be updated 

  • Taking control of all customer service requests including and not limited to technical issues, cancellation process, questions, concerns, etc. 

  • Monitor live chat and maintain it by creating templated responses
